GOSH Learning Academy (GLA) Cancellation Terms and Conditions
These terms and conditions apply to any delegate who has made payment, or successfully booked a free place, and has received confirmation of their attendance for either:

a course or event (e-learning, virtual, hybrid or in-person) delivered by the GLA

a place on the Observership programme

The following areas do not fall within the scope of these terms and conditions: Apprenticeship, and Academic programmes.
1. TERMS AND CONDITIONS
Booking a place on a GLA course or event is made subject to our terms and conditions. By completing your registration and/or by making payment for a course or event, you agree to the following terms and conditions:
- Delegates are entitled to a full refund if they cancel their place within 14 calendar days or more before an event minus a 12.5% or £40 administration fee, whichever is lower. This administration fee will differ for a small number of courses and events and where relevant will be clearly outlined on the relevant course or event registration page.
- Delegates will not be eligible for a refund if they cancel less than 14 calendar days before the start of a course or event (please see Extenuating Circumstances for exceptions).
- Delegates may be able to transfer their place to a colleague or rebook to another date (where this is applicable) at the discretion of the relevant course co-ordinator.
- Refunds will not be made where delegates do not attend course, event or programme and do not cancel.
GLA Resuscitation Courses
- The GLA complies with the Resuscitation Council’s course regulations which requires delegates to have the requisite training manual at least 4 weeks before the course start date.
- Our European Paediatric Advanced Life Support (EPALS) and our Advanced Paediatric Life Support (APLS) courses manuals are dispatched 4-6 weeks in advance of the course starting.
- Between four weeks and the start of the course, the GLA incurs costs related to delegate registration and the production and issue of course material.
- Cancellation of bookings for the EPALS/APLS course may be made at any time subject to the following terms:
- More than 4 weeks’ notice – Full refund of fees (minus £40 administration fee)
- Between 2 to 4 weeks’ notice – 50% of fee payable
- Less than 2 weeks’ notice – Full fee payable (i.e., no refund)
GLA Observerships
- The offer of a place on the Observership Programme is made subject to our terms and conditions. By completing your application and/or by making payment for an Observership, you agree to the following terms and conditions:
- Delegates will be eligible for a full refund if they cancel their place more than 4 weeks before the start of an Observership, minus a £150 administration fee.
- Delegates will not be eligible for a refund if they cancel their place less than 2 weeks before the start of an Observership or event (please see Extenuating Circumstances for exceptions).
2. EXTENUATING CIRCUMSTANCES
- If you are unable to attend a learning activity due to extenuating circumstances with less than 14 days’ notice, please email learning.academy@gosh.nhs.uk.
- Extenuating circumstances include but not limited to acute illness, unplanned hospitalisation, and bereavement. Each case will be considered on its own merit and any decision taken will be at the discretion of the GLA and will be final, decisions will be made on a case-by-case basis.
- Where delegates have been rebooked once to a new date for a course, further options to rebook will not be provided.
GLA Observerships
- If you are unable to attend your programme due to extenuating circumstances with less than 4 weeks’ notice, please contact the team by emailing international.education@gosh.nhs.uk.
- If you have commenced your programme but you are unable to complete it due to extenuating circumstances, a refund will be offered for the remainder of the programme (minus £150 administration fee).
- Extenuating circumstances are as outlined above and include other events such as restrictions placed on national and/or international travel.
3. COURSE/EVENT/PROGRAMME CANCELLATION BY THE GLA
The GLA reserves the right to cancel in the following circumstances:
- Unforeseen circumstances which affect the delivery of the course or event.
- The minimum number of delegates required to run the course/event effectively has not been reached.
- Where the GLA initiates the cancellation, we will provide one of the following:
- Offer delegates a place on the rescheduled course/event/programme.
- Where possible, signpost candidates to a suitable alternative course, event, or specialty, or
- Offer a full refund.
- The GLA will give as much notice as possible where a course, event or an Observership programme placement needs to be rescheduled or cancelled.
- Any personal arrangements, including travel, accommodation, or hospitality, made by the delegate in relation to a course, event, or programme attendance are at their own risk. The GLA will not be liable for any costs incurred due to these arrangements, regardless of the reason for cancellation. This also applies to bookings made for free courses, events, or programmes.
GLA Observerships
The GLA reserves the right to cancel in the following circumstances:
- Alterations at service level affecting the ability to provide sufficient supervision.
- Unforeseen circumstances which affect the delivery of the programme.
4. CONFIRMATION OF PLACES/REGISTRATION
- It is the delegate’s responsibility to ensure that they are registered and have a confirmed place on a course, event, or programme.
- If paying by a Purchase Order (PO), a PO from your Trust is required 14 calendar days before the start of the course or event to confirm your place. Your place is not guaranteed unless a Purchase Order (PO) is received by the GLA, upon which a confirmation email is sent.
- If paying by any other means, your place is not guaranteed unless payment for the course is received in full by the GLA.
GLA Resuscitation Courses
- An email with information on how to pay will be sent upon registering for the course.

5. REFUNDS
- We are committed to processing your refund in a timely manner.
- All requests for refunds, i.e., notifications to cancel, should be initiated via our cancellation form (see next bullet point).
- Delegates can exercise their right to cancel a GLA or Resuscitation course by completing the cancellation form. Acknowledgement of your cancellation form should be received within 2 working days.
- Where possible, refunds will be processed by the same method used for payment. Where this is not possible, the delegate will be contacted by the GLA to arrange a refund.
- Where payments are made by international transactions, the GLA will not be liable for any variations due to fluctuations in foreign exchange rates.
GLA Observerships
- For Observership cancellations, please click here to complete the cancellation form. You will be contacted within 2 working days by a member of the GLA International Team to confirm receipt of your cancellation and provide information on next steps.

Complaints
If you are not satisfied with how your cancellation or refund was handled, formal complaints can be made in writing by emailing learning.academy@gosh.nhs.uk.
